How to respond to a Google review as a business owner

Replying to reviews is one of the few places on Google where the owner gets to speak directly to future customers. It doesn't take long once you have a routine. Here's a simple, practical routine.

1. Reply from the business profile

Sign in to the Google account that manages your Business Profile, search for your business name on Google or open Google Maps, and choose the option to read and reply to reviews. Replies appear publicly under the review, labeled as the owner's response. If you don't see a reply option, you may not be an owner or manager on the profile yet.

2. Decide what to answer first

  • New reviews with no reply yet
  • Complaints that a future customer might read as unresolved
  • Detailed positive reviews that mention staff or a specific dish or service
  • Anything sensitive (legal, safety, medical, employment, privacy): pause and review it internally before replying publicly

3. Write like a person, not a template

  • Use the reviewer's name if they show one, and mention one specific thing they said.
  • Keep it short: a few sentences is enough.
  • Sign with a first name and role.
  • Vary your wording. Identical replies on every review look automated.

Positive example

Review: "Great tacos and the staff were so friendly!"

Reply: Thank you! We're so glad you enjoyed the tacos, and we'll pass your kind words on to the team. See you next time. – [Name], owner

Mixed example

Review: "Loved the food, but parking was tough."

Reply: Thanks for coming in and for the honest note about parking. We're glad the food made it worth it. Next time, [only if true: a parking tip]. – [Name]

4. Things owners should never do

  • Argue, blame, or call the reviewer dishonest
  • Share private details about the customer or their visit
  • Offer anything in exchange for a review or a changed review
  • Post fake reviews or ask staff to
  • Reply while you're upset

5. Make it a habit

Pick a regular time to check for new reviews, such as a few minutes at the start of each week, and answer everything new. Consistency helps a profile look active.

FAQ

Do I have to reply to every review?

No, but consistent replies show future customers the business is paying attention.

Can a manager reply instead of the owner?

Yes, if they have manager access on the Business Profile. Keep the tone consistent.

Will replying improve my ranking?

We don't promise rankings, ratings, or other Google outcomes. Replies are mainly for the people reading your reviews.
